Save PowerPoint presentations as a PDF file

When you save a presentation as a PDF file, the formatting and layout are frozen. People can view the slides even if they don't have PowerPoint. However, changes cannot be made to it.

  1. Choose file > Export out.

  2. click on Create PDF / XPS document, and then click Create PDF / XPS document.

  3. In the dialog box, choose Publish as PDF or XPS select a location to save the file to. Enter in the field Filename a different name if you want the file to have a different name.

  4. Optionally, if you want to change the appearance of the final PDF file, do the following:

    • Choose under Optimize for the option default to improve the quality (e.g. if the PDF is to be printed). Choose Minimal size to reduce the size of the file (e.g. if you want to send it as an e-mail attachment).

    • click on Optionsto choose how to view the presentation as a PDF file. Here are some of the options available:

      • To save only the current slide as a PDF file, select Under Area the option Current slide out.

      • To save specific slides as a PDF file, enter Slide (s) the slide number range in the fields Of and To a.

      • If you only want to save comments, handouts, or outline views, instead of the slides, choose below Publish what? select a corresponding option. You can also specify the number of slides in the drop-down box Slides per side should be displayed and change the order (Horizontal or Vertical).

      • You can choose whether to include frame slides, hidden slides, comments, ink, non-printable information such as document properties or document structure tags in the PDF by selecting the appropriate options.

      • click on OK.

  5. click on Publish.

There are two ways to save your PowerPoint for macOS presentation as a PDF document.

  • You can download your presentation under file > Save as save as a PDF file.


  • You can view the presentation at file > Export export as a PDF file.

Both methods follow the same steps, so you can choose whichever method you are more familiar with to create a PDF version of your presentation.

Method 1: Save the presentation as a PDF file

  1. click on file > Save as.

  2. Select the location where you want to save the PDF file, then choose from the menu File format select the "PDF" format.

Method 2: Export the presentation as a PDF file

  1. Choose file > Export out.

  2. Select in the menu File format select the "PDF" format.

Set the quality of the PDF file

Features such as saving notes, saving slides as handouts, including hidden slides in the PDF file, or reducing the PDF file size are not available. However, you can set the print quality of a PDF to a higher or lower standard.

Tip: PowerPoint for macOS doesn't keep links in PDFs, but if you save your presentation in OneDrive, you can open it in PowerPoint for the web and download it as a PDF from there. Links are preserved in PDF files generated from PowerPoint for the web, and these files are accessible and tend to be smaller.

You can choose the print quality for the PDF file High, medium or Low set, depending on your requirements. By default, the print quality is set to Good, which is the best choice for printing a PDF file. Follow these instructions to set the print quality of the PDF file:

  1. Do you click in the menu PowerPoint on Settings.

  2. Click in the dialog box PowerPoint settings on Generally.

  3. Place the Desired quality under Print quality (paper / PDF) to the option you want.

  1. Click the tab file on Download as and then on Download as PDF. (The file will be converted to a PDF file and a dialog box will then inform you that it is ready to be downloaded.

  2. click on Download. A status bar indicates that the downloaded PDF is ready to be saved on your computer. (The exact message varies depending on the web browser you are using.)

  3. click on Save as. A dialog box will appear allowing you to choose where to save the file on your computer.
